Guide to Generating & Uploading NMLS Report Data 

NMLS Data Report Field List (with field calculations) - for Version 6 

You can generate data needed for a Standard or Expanded NMLS Mortgage Call Report from the Encompass Pipeline and export it to a Microsoft Excel spreadsheet or in XML format. The data can then be uploaded to the NMLS website and applied to a Mortgage Call Report (MCR).

  • The Channel Options setting allows administrators to configure how Correspondent loans and loans with no channel selection (as determined in field 2626) are treated when generating NMLS data reports.

  • An Exclude this Loan from the NMLS Report checkbox (field ID NMLS.X15) is provided in the NMLS Report Information Quick Entry window. Select this checkbox to exclude the loan when generating NMLS data reports. To access the NMLS Report Information Quick Entry window, open the HMDA Information input form in a loan file, and then click the NMLS Info button provided on the form.

To Generate NMLS Mortgage Call Report Data:

  1. Click the Pipeline tab in Encompass, and then click the Pipeline menu.

  2. Point to Compliance Services, then click Generate NMLS Call Report.

    The data for the report is pulled from the Reporting Database in Encompass. If any fields required for the report have not been added to the database, a pop-up window will ask you to contact the Encompass administrator.

     Your system administrator controls who can access this feature based on persona, using the Personas tool in Encompass Settings.

    • Ask your administrator to open the Reporting Database. Encompass will prompt the administrator to add the missing fields.

    • If needed, your administrator can use Business Rule Field Triggers to reset the NMLS Call Report fields.

  3. On the NMLS Call Report window, in the Report Options section, select an option from the Format dropdown list:

    • Excel - Standard: Generate data for a Standard Mortgage Call Report in Microsoft Excel format.

    • Excel - Expanded: Generate data for an Expanded Mortgage Call Report in Microsoft Excel format. The Expanded report is intended for companies that are approved Fannie Mae or Freddie Mac Sellers/Servicers or are Ginnie Mae Issuers. This format (or XML - Expanded) is required for Version 6.0 (NMLS Rev.2024.1) of the report.

    • XML - Standard: Generate data for a Standard Mortgage Call Report in XML.

    • XML - Expanded: Generate data for an Expanded Mortgage Call Report in XML format. The Expanded report is intended for companies that are approved Fannie Mae or Freddie Mac Sellers/Servicers or are Ginnie Mae Issuers. This format (or Excel - Expanded) is required for Version 6.0 (NMLS Rev.2024.1) of the report.

       Typically, the XML format is used when generating data for all states in which the company is licensed. The administrator must specify these states using the NMLS Report Setup tool in Encompass Settings.

  4. Select the time period for the report (a year or three-month period followed by a specific year).

    By default, the 1003 Signature Date (field ID 3261) determines whether a loan file is included in a report for a specified time period. Your administrator can use the NMLS Report Setup tool to designate another date field.

  5. Select a Version. The versions below are selected by default based on the filing period:

    • Version 1 is selected by default for the period prior to April 1, 2011.

    • Version 2 is selected by default for periods from April 1, 2012.

    • Version 3 is selected by default for periods on or after January 1, 2014.

    • Version 4 is selected by default for periods on or after April 1, 2015 through December 31, 2015.

    • Version 5 is selected by default for periods on or after January 1, 2016 through December 31, 2023.

    • Version 6 is selected by default for periods on or after January 1, 2024.

  1. If exporting to Microsoft Excel, select All or select a state from the list if needed.

  2. If Version 6 (NMLS Rev.2024.1) is selected for the report: Use the Business Activity dropdown field to select Lender (default selection) or Broker to determine the type of loan data to be included in the report.

    • When Lender is selected, the report includes tabs for RMLA Section I, RMLA Section II, RMLA Section III, and Originators.
    • When Broker is selected, the report includes tabs for Report and Originators.
  3. In the Loan Folders section, select one or more loan folders to include in the report.

  4. In the Applications in Process at the Beginning of the Period section, enter the number of loan applications that were in process from borrowers and from third parties at the beginning of the period covered by the report (in the appropriate Count field), and then enter the total dollar amount for borrower and third party loans.

    • If exporting in XML format, enter the information for each state in which the company is licensed.

    Failure to enter this data may result in an Invalid MCR Schema error when you are uploading this report data to the NMLS website.

  5. Click Generate.

    • The data for the report is pulled from the Reporting Database in Encompass. If your administrator did not add the required fields to the database in Step 2 above, a pop-up window asks you to contact the Encompass administrator.

  6. If all the fields required for the report have already been added to the Reporting Database, a navigation window allows you to select the location where you want to store the Excel spreadsheet.

  7. If required NMLS data is missing from one or more loan files in the report (or if the data is invalid), a pop-up warning displays. Click Yes to generate an error report in an Excel spreadsheet that lists the missing data and a list of fields that are missing in each loan.

    • If you click Yes, a navigation window allows you to select the location where you want to store the Excel spreadsheet.

    The data in each loan file that will be used when generating NMLS data reports can be accessed from the HMDA Information form within the loan file. Open the HMDA Information form, and then click the NMLS Report Info button to open the NMLS Report Information window, where you can view or edit the NMLS data for the loan.

What report format should I use? 

When setting up the NMLS data report, select the Excel format when you want to generate a report, review the report data, and search for potential problems. You can also generate an Excel version at the end of each quarter and save it on your computer to keep a record of your NMLS data reports.

Once you are satisfied the report data is accurate, select the XML format when generating an NMLS data report. When uploading your report data to the NMLS website, it must be uploaded in XML format.

To Upload the XML File to the NMLS Website:

  1. Visit the NMLS Resource Center website at: http://mortgage.nationwidelicensingsystem.org

  2. Log into the site and then follow the instructions to upload the XML file to the website.

    At any time you can correct or modify loan data in Encompass, and then repeat this workflow to overwrite the current report on the NMLS website.
